What is WHS Apps ONE?

WHS Apps ONE is an intelligent Work Assurance platform. It starts with the work people are going to do and connects the task, people, workplace, controls, documents, permits, inductions, checks, evidence and authorised decisions that apply.

Is ONE just a SWMS generator?

No. A SWMS can be one output where the applicable trigger requires it. ONE is designed around the whole task lifecycle, including worker information, training, pre-starts, permits, inductions, inspections, reporting, Work Clearance and close-out.

Do I need to know which safety form or module to choose?

That is exactly what ONE is intended to reduce. The user starts with the task. ONE uses the known context and controlled requirements to guide the applicable pathway and ask only the missing questions.

Does ONE work only for construction?

No. ONE is intended to adapt its terminology and pathways to the industry, jurisdiction, workplace and task. Construction is one use case; transport, labour hire, manufacturing, facilities, waste, mining and other industries can use different terminology or requirements.

Does ONE replace a safety adviser or authorised manager?

No. ONE can assist, explain, connect evidence and surface gaps. Competent and authorised people still perform the reviews, verifications and decisions required by their role.

Can we upload a spreadsheet of workers instead of entering everyone manually?

Yes. Team, Business, Pro and Enterprise are intended to support bulk roster onboarding. ONE can validate the file, match existing identities, flag possible duplicates, group supplying organisations and prepare proposed relationships and costs for review. Uploading the roster must not automatically create a charge.

How does ONE know where the work is if I am planning remotely?

ONE treats GPS/device location as a suggestion, not an assumption. The authorised person can choose current, recent or favourite locations, search for the workplace or enter it manually. A new confirmed address can create the minimum Work Location needed for planning and be enriched later.

How do I open ONE on my phone?

Open your ONE access link on iPhone or Android and sign in. ONE also works on tablets and computers. Add ONE to your phone home screen for easy access; an App Store or Google Play download is not required.

Will I use the same login and Work Profile?

Yes. The website and ONE are planned around the same login, Work Profile, Organisation relationships and subscription records. Your permissions still determine what you can see and do.

I am a self-employed carpenter/electrician with an ABN. Is ONE for me?

Yes. ONE Solo is the current one-person organisation plan. It gives your business its own ONE home rather than treating you only as an external worker inside somebody else's system.

What if I do ten jobs at ten different workplaces in one day?

You keep one business/person identity in your ONE home. Each workplace or task can then apply its own site induction, permit, access, hazards, customer rules and Work Clearance requirements. ONE should reuse what remains current and ask what is different at each job.

Will I have to enter my licence and business information every time?

Not if the information is still current and reusable for that context. ONE is designed to reuse controlled facts and only ask again when something is missing, changed, expired or specific to the new workplace.

What is included in ONE Solo?

The current standard Solo plan is for 1 person total. That same person can also hold management / authorised permissions in their own ONE organisation, and the plan includes 500 shared ONE AI credits per 30-day recurring cycle plus the core ONE capabilities. The management permission is not a second person.

What if I start employing people?

If your one-person business grows, the buyer-facing estimator moves to a suitable organisation plan rather than presenting ONE Solo as a multi-person plan. It can then compare approved capacity add-ons with the next standard plan to show a lower-cost suitable option.

If my customer is also on ONE, do I need another ONE identity?

No. The same person should keep one ONE identity/login. The customer still chooses the organisation relationship and access it needs for its own work — for example Connected Worker, ONE Safety Access or the External/PDF pathway — and the Billing Sponsor is handled separately. Unrelated organisation records remain separate.

Do I need to switch between a Worker dashboard and an Authorised Person dashboard in ONE Solo?

No. ONE Solo is designed around one person, one login and one dashboard. ONE presents the next action according to the authority being exercised and records worker and authorised events separately underneath.

Does every worker need to buy ONE?

No. A worker does not need to buy a second identity or login. They can participate through the organisation relationship provided for the work. If the same person also runs their own independent business, that same ONE identity can also sit behind their own ONE Solo or other authorised organisation relationship.

What does a worker see?

Only the released, practical information and actions relevant to their work: task steps, key hazards and controls, inductions, permits, pre-starts, training, stop-work conditions, reporting and post-task actions.

What happens when a worker presses “I'm ready to begin”?

That records that the worker has reviewed the task information and begins the readiness sequence. It is not the physical work-start time. ONE then takes the worker into the required pre-start and Work Clearance pathway.

When is the actual work-start time recorded?

Only after the applicable readiness requirements are resolved and the worker receives the Start Work action. Pressing Start Work records the actual commencement time.

Can a worker report a hazard during the task?

Yes. Report Hazard, Ask a Question and Stop Work are designed to remain connected to the active task so the issue, notification, response and effect on Work Clearance stay in the ONE record.

What happens if a permit expires or a new hazard appears after work starts?

Work Clearance is intended to be dynamic. A permit expiry, licence issue, failed control, new hazard or material change can move affected work to review / hold. ONE keeps the reason visible and the work resumes only after the required response and re-clearance are complete.

NETWORK ASSURANCE, CONTRACTORS & PRINCIPALS

Is ONE Network Assurance only for principal contractors?

No. It can also support transport companies with owner-drivers, host workplaces, labour-hire arrangements, facilities, suppliers and other networks where separate businesses work around the same operation.

Does the principal contractor, transport company or host employer own contractor records?

No. ONE preserves each business as a separate legal and evidence owner. The host receives the authorised status or evidence needed for the work and coordination.

Can a contractor keep their own ONE account?

Yes. A contractor can maintain its own organisation, people and evidence and connect into customer or host work through authorised Network relationships.

Can a host see readiness without receiving every underlying document?

Yes. The ONE design prefers sharing the required current status and reason where that is enough, while allowing controlled document/evidence access when it is genuinely needed.

What about independent owner-drivers working under one transport company?

Each owner-driver business can retain its own people, vehicle, insurance and evidence records while the transport company receives the agreed Network Assurance view for the work being performed under its banner.

Does a principal contractor need access to our whole internal task record?

No. A principal contractor can receive the released controlled output and the relevant site-assurance information needed for coordination, while the contractor retains its internal organisational review, acceptance and release authority unless broader access is expressly granted.

LABOUR HIRE & HOST WORKPLACES

Labour Hire & Host Workplaces

Questions about the provider, host, worker and records.

Is it the labour-hire provider or the host who should provide ONE?

ONE should not impose a blanket either/or answer. The legal duties depend on the applicable jurisdiction and real arrangement and can overlap. Commercially, the provider, host, both, or another authorised ONE home can participate. ONE keeps each relationship and source of authority distinct.

Who owns the labour-hire worker records?

The provider remains the source/owner of provider-controlled worker and assignment information. The host remains the source/owner of host workplace, task, site induction, permit and local-control records it creates or controls. ONE links the relationship without silently transferring ownership.

Can the host edit or accept the labour-hire employer records?

Not simply because it is the host. The product model allows the host to view and comment on what is needed for coordination but not silently edit, approve or accept another employer's controlled records on its behalf.

Who pays for the labour-hire worker?

That depends on how the person uses ONE. The host can activate a Connected Worker relationship, use short-term Safety Access, nominate a Billing Sponsor, or use the external/PDF pathway. An existing identity is not itself a free host relationship.

Does the host induction prove the worker is competent?

No. Induction, training completion, competency and task authorisation are separate concepts. ONE is designed to keep them separate and show what is still required.

What happens when the worker changes host?

The person/provider information can remain current. The new host relationship creates the new workplace/task context and ONE asks only for the missing or changed requirements.

What happens to records when the assignment ends?

Future access can be closed while historical evidence remains retained in the appropriate organisation and task histories according to controlled retention and access rules.

What happens if Harbourfield asks ABC Labour Hire to sponsor 12 workers?

ONE can send the authorised ABC Labour Hire contact one sponsorship request showing the host, selected workers and access type. ABC can approve all, choose workers or decline. Sending the request alone must not activate a charge. If declined, Harbourfield can sponsor the access or choose Safety Access / the External Safety Pack pathway where suitable.

Can ABC Labour Hire brief its workers from a Safety Pack and have each worker sign digitally?

The documents-only Safety Pack can be used by ABC to brief its people and ONE can record delivery to the organisation, but that is not automatic proof each individual worker completed the applicable readiness steps. If individual digital acknowledgement or induction / permit / toolbox / pre-start evidence is required, use Safety Access or a Connected Worker relationship.

PERMITS, INDUCTIONS & WORK CLEARANCE

Permits, Inductions & Work Clearance

How the readiness pieces connect.

Does ONE create permits automatically?

ONE can identify permit triggers and prepare the applicable permit workflow from the task context, but issue, verification, sign-on, suspension and close-out remain controlled authorised actions.

How does workplace induction work?

Open ONE through a workplace QR code, pre-arrival link, assignment or user-confirmed workplace. ONE can identify a missing or expired induction and show the relevant pathway. The initial launch does not rely on automatic background location prompts.

Does entering a geofence mean I am inducted?

No. Location does not complete an induction, prove attendance or sign somebody onto a permit. At initial launch, the person opens the workplace or task and completes the required steps; continuous background tracking is not a launch feature.

What is ONE Work Clearance?

It brings the configured current prerequisites together so the appropriate authorised person can see what appears ready, what needs review and what should stop release.

What happens after the physical work is finished?

The worker can record Work Complete, which starts the close-out sequence. Post-task checks, permit closure, defects, incidents, handover and any required supervisor verification still need to be resolved before the task is finally closed.

Who keeps what and what can be shared.

Does ONE create one giant shared record that everybody can see?

No. ONE connects controlled records while preserving organisation ownership, role permissions and purpose-limited sharing.

What is the ONE Digital Work Card?

It is the concept of a controlled person identity that can present authorised current status across ONE relationships. It is not a universal compliance passport and it does not remove workplace-specific requirements.

Can I take my information to a new employer or PCBU?

Where authorised, the same person identity can be connected to a new relationship and share the relevant current information or status. The new organisation can still require its own induction, task, permit or verification.

Can contractors send one tender evidence pack?

Yes. Tender Assurance is intended to assemble the requested current business, insurance, people, plant and safety evidence into a controlled indexed pack or authorised live status instead of sending a pile of unrelated attachments.

Can records be reconstructed later?

That is a core ONE objective: preserve the task version, people, evidence, actions, timing, changes and authorised decisions so the safety story can be reconstructed without relying on memory.

Can one worker use ONE with several organisations?

Yes. One Person/User can hold multiple authorised organisation and workplace relationships. Another organisation does not automatically see unrelated work simply because the same person identity is used.

PRICING & ACCESS

Pricing & Access

Use the same buyer-first logic as the Pricing page: count your own people once, then add any external digital access your organisation expects to pay for. ONE terminology, permissions and Billing Sponsor choices stay underneath.

I do not know whether someone is a Worker, Connected Worker or Safety Access person. How do I choose?

Start with ordinary language. If the person is part of, or principally managed through, your own workforce, count them in our own team — ONE maps that to Worker. If they are outside your own workforce and you actively manage ongoing work involving them, count them as an ongoing external person — ONE maps that to Connected Worker. If they only need limited digital participation for a few days, use short-term external person — ONE maps that to Safety Access. If they only need released controlled safety information, use the External Safety Pack pathway.

Is a manager or authorised user another type of worker?

No. Management / authorised access is a permission layer, not another person type. The same person can be part of your own team and also need management, administration, review or authorised permissions.

Are “paid by us” and “sponsored by another organisation” different worker types?

No. That is a Billing Sponsor choice. First identify the person's relationship and access. Then decide which approved organisation pays. Changing the payer does not change the person's identity, employer, record ownership, WHS duties or permissions.

What is the current ONE Solo price?

The current standard pricing authority lists ONE Solo at A$69 per 30-day recurring cycle + GST or A$690 per year + GST. The annual option remains a separate approved billing choice.

What is a Worker?

A Worker is a person who is part of, or principally managed through, the organisation's own workforce in ONE. This is different from a Connected Worker, who is external to that organisation's own workforce but is connected because the organisation needs to actively manage work involving them.

Does every one-off contractor need to become a Worker?

No. An external contractor should not be forced into the organisation's Worker category merely because they need safety information. ONE can use a Connected Worker relationship for ongoing external work management, ONE Safety Access for short-duration participation, or an External/PDF Safety Pack where no paid digital connection is activated.

Are contractor and labour-hire digital-access costs included in my Pricing estimate?

Yes, when your organisation expects to pay them. Keep external people out of your own organisation headcount, then add the ongoing or short-term external digital access you expect to pay for in the same Pricing estimator. The result shows one combined estimated total. If another approved organisation will pay, leave those people out of your paid external count and record the Billing Sponsor before activation.

Can we add people without immediately upgrading?

Yes. The estimator can compare approved capacity add-ons with the next standard plan and show the lower-cost suitable option. For clarity, it does not recommend ONE Solo for a multi-person organisation.

Can I change plans later?

Yes. ONE pricing is intended to support movement as the organisation changes, with Fair-Fit checking whether adding, upgrading or later downgrading is the better-value position.

What is the difference between a Worker and a Connected Worker?

A Worker is part of, or principally managed through, your organisation's own workforce in ONE. A Connected Worker is an external person with a ONE identity whom another organisation needs to actively manage work with. A Connected Worker does not need to be a ONE Solo subscriber.

What does the A$20 Connected Worker charge pay for?

It pays for that organisation's active relationship and work-management access with the external person through ONE for the applicable 30-day billing cycle. It is per active person + organisation connection, not per workplace.

Can the labour-hire company or contractor pay instead of the host?

Yes, where the Billing Sponsor pathway is approved. The host, labour-hire provider, contractor or another approved connected organisation may sponsor a charge. Paying does not transfer record ownership, WHS duties or permissions.

What if an external worker is only needed for one day?

ONE Safety Access is the short-duration option at A$5 per active worker/day + GST. For the same person + organisation in the applicable 30-day window, Fair-Fit caps the daily total at A$20.

What happens when Safety Access reaches A$20?

ONE should not continue charging daily access above the A$20 Connected Worker amount for that same person/organisation/window. The production entitlement/conversion state must match the implemented billing rules.

What if nobody wants a paid digital connection?

Released controlled information can still be sent through an External/PDF Safety Pack. Delivery proves transmission; it does not by itself prove that every worker received, understood or completed every Ready to Start Work requirement.

Can a sole trader have ONE Solo and also be a Connected Worker elsewhere?

Yes. ONE is designed for one Person/User identity and one login with multiple authorised organisation/workplace relationships. The active Organisation + Workplace + Task context remains separate and visible.

Can we bulk upload a workforce roster?

Bulk people upload is intended for Team, Business, Pro, Enterprise and relevant trials — not ONE Solo. ONE validates, matches existing identities, flags duplicates and prepares proposed relationships/costs for review. Uploading never automatically creates a charge.

How does the 30-Day Free Trial work?

The proposed trial lets an eligible organisation experience up to two complete controlled task pathways within defined people, workplace and access limits. The final ONE AI Credit allowance remains subject to cost validation. If payment details are collected for conversion, A$0 today, the exact trial end date, selected paid plan, GST, 30-day renewal and cancellation information must be shown clearly.

Are ONE AI credits assigned to each manager or shared by the organisation?

They are shared by the organisation. For example, ONE Team has a 1,000-credit organisation pool; authorised ONE AI users draw from that same pool rather than receiving locked personal buckets. Ordinary worker activity does not need its own AI allowance.

What activities use ONE AI credits?

ONE AI credits are intended for AI-intensive work such as generating a new connected task package, major AI-assisted revision and advanced analysis or research. Viewing released information, pre/post checks, toolbox sign-on, evidence upload, normal hazard/incident entry and assigned training are ordinary ONE activity and are not intended to consume the shared AI allowance.

What happens if our ONE AI allowance runs out?

Released safety records and ordinary operational safety workflows must remain available. Additional AI capacity is intended to be available separately from workforce size; final public capacity-pack prices will be confirmed before paid activation and uncontrolled overage should not turn on automatically.

Where will I choose a plan and pay?

Initial plan selection and Stripe subscription/payment will start through the WHS Apps ONE website. You will then continue into ONE. The current registration form records interest and does not take payment.

Can I manage my subscription from inside ONE?

An authorised customer will be able to manage permitted subscription matters from within ONE, including adding people or changing a subscription where the approved rules allow. The published pricing and applicable terms continue to govern those choices.

What ONE should and should not claim.

Does AI decide that work is safe?

No. AI can help draft, compare, explain and identify gaps. ONE assembles the readiness picture. Authorised people make the consequential decisions.

Does using ONE transfer a legal duty to WHS Apps?

No. ONE is a software and assurance platform. It does not transfer workplace duties from the organisations or people who hold them.

Will ONE always know the correct jurisdictional requirement?

ONE is designed to use controlled jurisdiction, industry and workplace context and to preserve Unknown or Review Required when it does not have enough reliable information. It should not invent a legal requirement or silently guess.

Does ONE guarantee compliance or no incidents?

No. ONE is designed to improve the quality, connection and traceability of work-assurance processes, not to provide a blanket guarantee of compliance or safety outcomes.

Does ONE include a complete legal database?

ONE does not claim a complete legal database for every jurisdiction. It is designed to use controlled sources, retain source and citation history, and stop or require review when important information cannot be safely confirmed.

Are the Eight Tabs the source of legal authority?

No. The eight task outputs are prepared downstream of the controlled task, confirmed facts and source/requirement process. They are not the source of legal authority. Authorised people remain responsible for consequential decisions.

Can a consultant access several client organisations?

Yes, within customer-authorised scope. The client controls what the consultant can see, review or support and can limit or end that access.

Can consultants build services around ONE?

Yes. Gap Check, implementation, task-library work, Network setup, assurance reviews, training and managed support can form repeatable consulting services.

Does ONE offer consultant referral or revenue-share pathways?

The ONE for Consultants page explains the current proposed partner pathways. Any commission, referral or revenue-share terms are subject to the final applicable consultant agreement and disclosures.

Can I see ONE without booking a self-guided product tour?

Yes. Use the See ONE in Action page to click through worker, ONE Solo, labour-hire and Network scenarios. It is designed to give you the product story without a meeting or form.

What is Ask ONE on the website?

Ask ONE is the website help guide. It searches the approved public website knowledge and points you to the relevant answer or page. The production architecture can later add governed AI retrieval over approved public content without exposing operational safety records.

When should I use Register Interest?

Use Register Interest when you want to participate in ONE — for example ONE Solo, an organisation, Network Assurance, a Design Partner pathway, ONE Consultants or a complex enterprise rollout. Product questions should normally be answered before you reach the form.

When should I contact a person?

Only when the matter genuinely needs a person, such as privacy or data-rights requests, accessibility assistance, a security concern, legal/corporate correspondence or an unusual enterprise or partnership issue that the published information cannot resolve.

Will ONE track workplace entry and exit while my phone is locked?

Automatic background entry/exit detection and continuous background tracking are not initial launch features. Use a workplace QR code, access link, assignment or user-confirmed workplace to open the relevant pathway in ONE.
